Setup: We look forward to providing you with your own Genow instance soon. However, before we can start setting it up, we need some information from you and your company. Once we have received this information, we will set up your instance. This documentation contains all the necessary steps and information that we require from you.

No matter your hosting choice, we’ve already got you covered with essential features, ensuring your optimized Genow environment is worry-free!

Information Required for the Platform Setup

Below you will find all the information we need to set up your Genow instance.

Naming and Branding

We will provide you with a free branding for your Genow platform user interface. Please provide us with the following information:
  • Logo of your company, ideally in .svg file format. We can add the logo to the top left of the user interface.
  • Name of your Genow instance. After setup, we will provide you with a link to your instance. Please let us know what your preferences are regarding the name of your platform.
  • Primary Color: You can provide us with a primary color that we use for buttons and other navigation elements in the user interface.
  • URL: Depending on your decision on how the platform is hosted, there are various options for your URL. If you decide to host the platform yourself, you can choose a subdomain from your company. If you choose the hosting by Genow, the URL is yourname.genow.cloud.

Hosting in Your Own Cloud Tenant via GCP

We can host the Genow platform on your Google Cloud tenant. In addition to providing us with the necessary naming and branding information, you just need to follow two easy steps:

Create a new Google Cloud project

Please create a new (and empty) Google Cloud project in your GCP and use the following nomenclature:
gcp-prd-[yourcompanyname]-euw3
Note that [companyname] should not be longer than 12 characters!
If you want to host your project outside of Europe, you can adjust the suffix (i.e. -euw3) to your host destination.
Basically, we automatically set up all the required resources in a new Google project in your environment (GCP in your Google Cloud Tenant), which means that you do not have to make any settings. In addition, the settings and configurations are perfectly tailored to the requirements of Genow.If more users are using the platform, the needed resources will be scaled automatically!

Grant Owner permissions to our service account

We will provide you with our service account! You need to grant our service account the Owner Role (roles/owner) in the IAM settings of the project.
This will enable us to deploy our Genow platform for the project, perform automatic updates and scale the platform and its resources as required.

Enter a billing account

After you’ve entered a billing account, please reach out to us so we can proceed with setting up the necessary infrastructure and your client.

  • Many customers decide to implement a landing zone when managing the GCP. This can sometimes be useful, but is not a requirement.
  • If you have special requirements regarding the infrastructure (e.g. network), please reach out to us.

Additional Information and Setup Steps

Data Systems

We support the following file systems / data management systems:
  • SharePoint,
  • Jira &
  • Confluence
  • SOON: Google Drive
Your data is stored in an external system? No problem! We can develop an individual connector. Contact us! Find out about options to further develop and individualise your use case here.

SharePoint Setup

You need to create a service principal for us that is authorized at the site level to access SharePoint via the Graph API and provide us with the following information:
  • Client ID,
  • Tenant ID &
  • Client Secret
For each SharePoint directory that is to be connected to our Genow application as part of a specific use case, our SPN must be connected to the SharePoint. Find our article about the SharePoint setup here.

Overview of Connected Data and General Information

Our Genow Platform uses internal company knowledge to answer user questions. The corresponding data must be processed during setup and made available to Genow. This incurs costs that are borne by the customer. If we host your Genow instance as SaaS, we will pass on the costs for processing to you without any further surcharges. If you maintain the Genow Platform in your own cloud environment, you bear all costs via your own contract with the cloud provider.

General Remarks on Hosting and AI Usage Costs

Generally, for hosting the platform two forms of costs arise:
  1. Hosting costs
  2. Variable costs for AI usage
Contact us for an estimation. Costs depend on:
  • Complexity of the Genow usage
  • Usage amount
  • Number of users

Rights Management and User Permissions

Rights management is a relevant topic, as not all users of the Genow Platform should have access to all use cases and the associated data. For this reason, user authorizations should be assigned. If available, we integrate seamlessly into existing user management systems such as EntraID. Name Responsible Persons

A best practice is to determine contact persons for
  • Each use case: should be a person with domain knowledge,
  • IT / Google Cloud setup,
  • Managing user permissions.
